Lodge Executive Committee structure, officer roles, and responsibilities

The Lodge Executive Committee

The Lodge Executive Committee is the steering committee of the Lodge. It is made up of elected officers of the Lodge, Lodge Committee Chairmen, Chapter Chiefs, past Lodge Chief, Lodge Adviser, Chapter Advisers, Staff Adviser, and the Council Scout Executive. The Lodge Chief is the Chairman of the Executive Committee. He prepares an agenda for the meeting in advance and presides over the meeting. The youth members that are listed above are the voting members of the Lodge Executive Committee.

The Executive Board evaluates problems and concerns, studies solutions, and then acts on the business of the Lodge through offices and standing committees. Major decisions are brought to the Lodge Membership for discussion and solution. The Executive Board meets at least 4 times per year and any interested Arrowman may attend as an observer. Outsiders may address the committee only if recognized by the Lodge Chief.

Lodge Chief

The Lodge Chief is the top leader of the lodge, responsible for providing vision, leadership, and direction for all lodge operations and activities.

Key Responsibilities

  • Serve as the primary representative of the lodge, including on the Council
  • Executive Board and Section Council of Chiefs.
  • Preside over all Lodge and Lodge Executive Committee (LEC) meetings, working from an agenda prepared with the Key 3.
  • Set annual lodge goals, including achieving Performance Measurement Program recognition.
  • Oversee the planning and execution of all lodge events and programs.
  • Supervise lodge officers, operating committees, and chapters.
  • Appoint committee chairs and members, including temporary/ad hoc committees, with Adviser approval.
  • Promote participation in all lodge activities and model proper Scout uniform.
  • Ensure chapter operations align with lodge goals.
  • Appoint and oversee the Vigil Honor Nominating Committee.
  • Maintain regular communication with the Lodge Adviser and Staff Adviser. Seek guidance and support proactively.
  • Attend all lodge events and LEC meetings.

Lodge Vice Chief Operations

Responsible for the overall coordination and management of lodge events, ceremonies, and induction activities.

  • Coordinate the planning and delivery of all lodge events and activities.
  • Supervise event chairs and ensure logistics and programming are executed effectively.
  • Oversee lodge contingents to Conclave and NOAC.
  • Manage all ceremonial and induction functions, including Brotherhood and Vigil.
  • Serve as acting Temporary Lodge Chief in the event of a vacancy.
  • Encourage member participation in all lodge functions and model proper Scout uniform.
  • Work closely with assigned Adviser, initiating communication for support and training.
  • Attend all lodge events and LEC meetings.
  • Be prepared to report on relevant committees and initiatives under your oversight at all LEC and Lodge meetings.

Lodge Vice Chief Planning

Responsible for lodge program planning, calendar coordination, and communications related to event readiness.

  • Maintain and manage the annual lodge calendar.
  • Coordinate planning for lodge programs, including the Troop Representative Program.
  • Oversee event registration and on-site check-in procedures.
  • Prepare and publish key communications such as candidate letters, brotherhood letters, and event information.
  • Track and share chapter-level activities and programs.
  • Encourage member participation in all lodge functions and model proper Scout uniform.
  • Engage regularly with Adviser for support, training, and collaboration.
  • Attend all lodge events and LEC meetings.
  • Provide updates on planning-related operations and committee progress at all
  • LEC and Lodge meetings.

Lodge Vice Chief Logistics

Responsible for all logistical support and resource coordination for lodge events and activities.

  • Schedule and confirm event facilities and venues in a timely manner.
  • Coordinate food, supplies, and equipment for all events.
  • Ensure medical and safety protocols are in place for each lodge function.
  • Anticipate and address logistical needs across all events.
  • Encourage member participation in all lodge functions and model proper Scout uniform.
  • Maintain regular contact with Adviser to ensure logistical support is aligned with event goals.
  • Attend all lodge events and LEC meetings.
  • Report on logistics planning and performance at each meeting at all LEC and
  • Lodge meetings.

Lodge Vice Chief Chapters

Serves as the primary liaison between lodge leadership and chapter officers to ensure cohesive programming and communication.

  • Ensure chapter operations fully support lodge goals and do not conflict with lodge programs.
  • Promote chapter participation in all lodge events.
  • Distribute lodge information to chapter leaders and district key three.
  • Support chapter chiefs with unit elections, camp promotions, and Troop Representative Programs.
  • Maintain accurate contact lists for chapter officers, advisers, and district leadership.
  • Encourage strong chapter performance and uniform compliance.
  • Work proactively with assigned Adviser to provide chapter-level guidance and assistance.
  • Attend all lodge events and LEC meetings.
  • Report on chapter activities and support efforts at all LEC and Lodge meetings.

Lodge Vice Chief Publicity

Leads lodge communication efforts including social media, publications, and promotional content.

  • Develop and implement the annual lodge communication and social media plans.
  • Maintain the lodge website and digital presence.
  • Organize and publish newsletters and digital updates.
  • Create promotional materials and press releases as needed.
  • Coordinate live publicity and outreach efforts when appropriate.
  • Encourage member participation in all lodge functions and model proper Scout uniform.
  • Maintain frequent contact with Adviser for creative and technical guidance.
  • Attend all lodge events and LEC meetings.
  • Report on communications strategy and publicity efforts at all LEC and Lodge meetings.

Lodge Vice Chief Administration

Manages lodge records, financial tracking, and administrative support for lodge operations.

  • Record minutes for all LEC and lodge business meetings and submit them within 10 days.
  • Oversee all lodge financial matters, including dues collection and event fees.
  • Manage the Lodge Trading Post and inventory.
  • Present regular financial reports to the LEC.
  • Serve as chair of the Finance Committee.
  • Encourage member participation in all lodge functions and model proper Scout uniform.
  • Communicate regularly with Adviser to ensure accurate and responsible administration.
  • Attend all lodge events and LEC meetings.
  • Report on financial and administrative matters as needed at all LEC and Lodge meetings.
